Sending Custom Variables to Zapier from Awaz.ai

Learn how to send custom variables collected during AI calls to Zapier, allowing advanced automations and personalized workflows.

Updated over 3 weeks ago

When integrating Awaz.ai with Zapier, basic call details (such as name, email, phone, call summary, call status, and outcome reason) are automatically sent after each call.

However, if you need to capture additional data gathered during AI agent interactions—like preferences, city, product interest, or intent—you can configure custom variables in your agent settings and pass them to Zapier for more advanced automation.

Access Your Agent's Variable Settings

To send custom variables to Zapier, first set them up in your Awaz.ai agent:

  1. Log in to your Awaz.ai dashboard.

  2. Click "Agents" from the left-hand menu and select your desired agent.

  3. Open the "Variables" tab (the last tab in your Agent Settings).

This section allows you to define custom values that your AI agent will collect during the call.

Create Custom Variables

Awaz.ai lets you create three types of custom variables:

  • Text-based Variables:
Useful for detailed responses (e.g., customer's main business challenge or specific feedback).

  • Number-based Variables:
Great for numerical data collection (e.g., quantity, rating, or budgets).

  • Yes/No (Outcome-based Variables):
Ideal for tracking simple outcomes (e.g., "Customer needs human support," "Interested in follow-up," etc.).

Examples of useful custom variables:

💡 Important: To capture accurate responses, make sure the variable is referenced in the AI prompt so your agent knows what to ask. For example:
“Be sure to ask if the customer is interested in the ongoing 20% discount campaign.”

Connecting Variables to Zapier

Once your variables are set up, you can retrieve them using a Zap:

  1. Create a new Zap
Choose Awaz.ai as the trigger app. Select the “New Call” trigger.

  2. Filter by call specifics (optional)
Narrow down which calls trigger your automation using filters like:

    • Agent (only pull data from a specific agent)

    • Call Status (e.g., only picked-up or calls with outcomes)

  3. Click “Test Trigger”
Zapier will fetch sample call data from Awaz.ai. You’ll see:

    • Basic fields: Name, phone, email, summary, outcome

    • Call Transcript & Recording URL

    • Custom Variables (from your agent’s variable tab)

  4. Automate Post-Call Tasks
After Zapier retrieves call data from Awaz.ai, you can map specific variables or data points into other applications to automate your workflows.

Field mapping in Zapier allows you to:

    • Update CRM fields
Map responses like budget, interest level, or customer location into the appropriate fields in your CRM (e.g., HubSpot, Salesforce, Zoho).

    • Send personalized follow-ups
Use collected data such as customer name, inquiry type, or interest in promotions to automate targeted messages through email or WhatsApp.

    • Trigger workflows across 5,000+ apps
Automatically send call outcomes or AI-collected responses into tools like Slack, Google Sheets, or email marketing platforms.

💡 Tip: Use Zapier’s field mapping feature to select which specific variables to pass into your connected apps. This ensures clean, relevant data transfer across your stack.

Real-World Use Case Example

Let’s say you create a Yes/No variable:
“Is the prospect interested in the premium upgrade?”

If the AI agent asks and collects that data, and it returns Yes, you can set up a Zapier Filter to:

✔ Automatically tag the lead as “hot” in your CRM
✔ Trigger a WhatsApp follow-up message
✔ Notify a human sales rep via Slack

This kind of branching logic lets you build advanced funnels without writing any code.

Reviewing Custom Variables in Awaz.ai

You can easily review custom variable responses within your Awaz.ai dashboard:

  • Navigate to the "Recordings" tab in your Awaz.ai dashboard.

  • Click the details icon next to a specific call recording.

  • Open the "Analysis" tab to see your custom variable responses clearly displayed.

Quick Tips for Effective Variable Use:

  • Clearly name variables to make them easy to identify in Zapier.

  • Make sure your agent prompt asks the right questions.

  • Test your Zapier automations after creating variables to ensure correct data flow.

  • Regularly review collected data in the Analysis tab to refine your AI agents’ prompts and improve future data collection.
