Efficient Scheduling with Awaz.ai’s Calendar Integration

This guide walks you through how to configure and optimize scheduling for your AI agents.
Step 1: Set Up & Link a Calendar
Before an AI agent can schedule appointments, you need to create and link a calendar.
🔹 Linking Google Calendar
Go to the "Calendar" section from the left-hand menu.
Click “Add Calendar” and choose Google Calendar.
Sign in with your Google account and grant permission for Awaz.ai to access the calendar.
Select the calendar you want to use for scheduling.
Click Save to complete the connection.
💡 Tip: Ensure that your Google Calendar is correctly configured to prevent overlapping bookings.
Step 2: Automating Scheduling with Zapier & Calendly
For more advanced scheduling workflows, Zapier can be used to integrate Awaz.ai with third-party scheduling tools such as Google Calendar, Calendly, and CRM-based appointment systems.
🔹 Automating Scheduling When a Call Leads to an Appointment
If an AI call results in a booking request, Zapier can trigger an event creation in Google Calendar or Calendly.
Navigate to "Settings > Integrations".
Connect Awaz.ai with the Zapier key.
Create a new Zap in Zapier:
Trigger App: Awaz.ai
Trigger Event: "Agent Trigger" → "Customer Requests Appointment" (activates when the AI schedules a meeting).
Set up the Action:
Action App: Google Calendar or Calendly
Action Event: "Create Calendar Event" or "Create One-Off Meeting" (to automatically add a new appointment).
Test, Save and activate the Zap.
💡 Tip: If using Calendly, ensure that invitee phone numbers are collected to trigger a follow-up call.

Step 3: Assign Scheduling Permissions to AI Agents
Once the calendar is set up and linked, the next step is to enable scheduling within the agent settings.
🔹 Assigning a Calendar to an AI Agent
Go to Agents from the left-hand menu.
Select the AI agent you want to configure.
Click Edit Agent, then go to the Actions tab.
Under "Scheduling", choose:
Google Calendar (linked calendar from Step 1).
Integration to Zapier (if automating with Calendly or other tools).
Click Save Changes to confirm.
💡 Tip: AI agents can only schedule appointments if they are linked to a calendar or an automated scheduling workflow.

Step 4: Set Availability & Test Scheduling
After linking a calendar and enabling scheduling, configure availability settings to prevent conflicts.

Go to Calendar Settings in the agent’s profile.
Set available time slots (e.g., 9 AM - 5 PM).
Define working days and blackout periods.
Click Save to apply settings.

Run a test interaction with the AI agent.
Ask the AI to schedule an appointment.
Check if the booking appears in Google Calendar or Calendly.
Ensure meeting details are sent via email or SMS (if enabled).
